Switch to GlowPilot without a leap of faith

How the switch works

1. 1. Mapping call

   Practitioners, treatments, rooms, hours, and which phone number patients actually use. We write the scope down.

2. 2. Proof of 50 charts

   Fifty patient files, two weeks of upcoming visits, ten photo files. If a real patient is not on the chart with a next appointment, you keep the old tool and Setup is not charged.

3. 3. Parallel week

   Both tools run 7–14 days. Reception keeps the old login until the book matches.

4. 4. Cutover

   New visits go only to GlowPilot. Historical PDFs stay archived. We do not re-issue another tool’s invoices.

A trial load, not a leap

We would rather pause a switch than load a messy diary. Fifty real patient files are the gate. Setup is a one-off for the hours we spend with you — not a second monthly plan, and it does not unlock WhatsApp on its own.

What we need from you

1. A spreadsheet of 50 real patients (name plus email or phone).
2. Two weeks of upcoming visits: date, time, treatment, practitioner.
3. About 10 photos named so we can match them to the patient.
4. We load a sample first. It works when you can open a real patient and see their next visit.
5. If that sample does not match, you keep the old system and Setup is not charged. Your public listing can stay live.

Keep your public profile

Patients can still find you on Google, a directory, or a marketplace. GlowPilot runs the day: calendar, photos, reminders, stock. We do not pull data from directories, and we do not sync two calendars both ways — that is how a laser gets booked twice.

How it works in practice

1. Leave the public profile live so patients still find you.
2. In the parallel week, copy each new public booking into GlowPilot the same day.
3. If you can export patients or visits as CSV, we import them. Skip clinical notes, attachments, and old invoices.
4. If you cannot export, copy upcoming visits by hand. That still counts as Setup.
5. Once GlowPilot is the daily diary, new clinic bookings go only there. You can leave the directory listing as a shop window.

How to keep a public profile while you switch

Some tools only export in date chunks

A full export is rare. Many clinic tools give contacts in full and visits in 6–12 month windows. We merge the chunks and drop exact duplicate rows. Bring what you can; we do not invent missing visits.

After the files land

You get a dry-run report: N patients, N future appointments, N errors. We match treatment and practitioner names, show unmatched rows, and run the 50-chart proof. WhatsApp connect happens on a call: you click, we sit with you.

GlowPilot Setup (optional, one-time)

Self-serve stays possible later. Switches with a real patient book are quoted Complete.
