How to Switch Medspa Software Without Losing the Book

Owners do not change clinic software for fun. They change it when reminders live on a personal phone, photos sit in a camera roll, and the laser gets double-booked.
The fear is the move. If next Tuesday’s patients disappear, the new tool does not matter. So the switch has to look like a clinic process, not an IT project.
Export what you can. Do not wait for a perfect dump.
Ask the current vendor for patients, upcoming visits, and photos. Some tools give you a full contact list and only a window of appointments. That is their product. Work with it.
A spreadsheet of fifty real patients plus two weeks of future visits is enough to see whether names, times, and treatments land in the right place.
Run both systems for a week
Keep the old login until the new book matches. Reception copies each new booking into GlowPilot the same day. When a named patient shows up with the right next visit, you can pick a cutover date.
Do not turn the old system off on a Friday night and hope. Empty chairs teach that lesson once.
Keep the public profile
Patients can still find you on Google or a marketplace. The daily book — calendar, photos, reminders, stock — is what you are replacing.
GlowPilot Setup is a one-time fee for the mapping work, not a second subscription. Request a demo if you want to see this on your own treatments.
